Private Multi Family Office, trading as PMFO, respects your privacy and is committed to protecting the personal information we collect, hold, use and disclose.

This Privacy Policy explains how PMFO manages personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

This policy applies to personal information collected through our website, client portal, email, telephone, in-person meetings, online forms, events, referrals, professional relationships and the provision of our services.

PMFO provides family office, advisory and related professional services to families, individuals, family businesses and other clients. These services may include family office services, virtual CFO support, tax, accounting and superannuation, agribusiness consulting, philanthropy and family giving, family succession, portfolio management, family governance, responsible investment and international client services.

In some circumstances, PMFO may collect sensitive information, such as information about family circumstances, health information, membership of associations, philanthropic interests or other sensitive matters, where this is reasonably necessary for our services and where you have consented or where collection is otherwise permitted by law.

Where reasonable and practicable, PMFO collects personal information directly from you. This may occur when you:

We will only collect personal information from third parties where you have consented, where it is reasonably expected, where it is necessary to provide our services, or where permitted by law.

4. Why we collect, hold, use and disclose personal information

PMFO collects, holds, uses and discloses personal information for purposes including:

  • providing family office, advisory, tax, accounting, superannuation, succession, governance, investment-related or related services

  • government agencies, regulators, courts, tribunals or law enforcement bodies where required or authorised

  • third parties involved in a proposed or actual business restructure, merger, acquisition or transfer of PMFO’s business or assets

We take reasonable steps to ensure that third parties who handle personal information on our behalf are required to protect that information appropriately.

6. Overseas disclosure

PMFO is based in Australia. However, some personal information may be disclosed to, stored by or accessed by recipients located outside Australia, including where:

  • we work with international clients, advisers, institutions or service providers

  • a cloud, hosting, software, email, client portal, data storage or technology provider uses overseas infrastructure

  • an overseas disclosure is required to provide our services

  • you ask us to share information with an overseas adviser, institution or family office contact.

The countries in which overseas recipients are located may vary depending on the service, provider or client matter. Where practicable, PMFO will take reasonable steps to ensure overseas recipients handle personal information in a manner consistent with the Australian Privacy Principles.

7. Website, cookies and analytics

When you visit our website, we may collect information about your interaction with the site, including IP address, browser type, device information, pages visited, time spent on the site and referral source.

We may use cookies, pixels, analytics tools or similar technologies to:

  • operate and improve the website

  • understand how visitors use the site

  • monitor website performance

  • improve content and user experience

  • support security and fraud prevention

  • measure the effectiveness of communications or marketing.

You can disable cookies through your browser settings, although some parts of the website may not function properly if cookies are disabled.

Our website may contain links to third-party websites or platforms. PMFO is not responsible for the privacy practices or content of third-party websites.

8. Direct marketing

PMFO may use your personal information to send you updates, insights, invitations or information about services that may be relevant to you, where permitted by law.

You can opt out of marketing communications at any time by using the unsubscribe link in an email or contacting us at info@pmfo.com.au.

Even if you opt out of marketing communications, we may still contact you about matters relating to your existing relationship with PMFO, including service, administrative, legal or compliance matters.

PMFO takes reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure.

No method of transmission over the internet or electronic storage is completely secure. However, we take reasonable steps to protect the personal information we hold.

10. Data breaches

If PMFO becomes aware of a suspected data breach involving personal information, we will take steps to contain, assess and respond to the incident.

Where required under the Notifiable Data Breaches scheme, PMFO will notify affected individuals and the Office of the Australian Information Commissioner if a data breach is likely to result in serious harm and remedial action has not removed that risk. The OAIC states that covered organisations must notify affected individuals and the OAIC when a personal information breach is likely to result in serious harm.

11. Retention of personal information

PMFO retains personal information for as long as reasonably necessary for the purposes for which it was collected, including to provide services, maintain business records, meet legal and regulatory obligations, resolve disputes and protect our legal interests.

When personal information is no longer required, PMFO will take reasonable steps to destroy, delete or de-identify it, unless we are required or permitted by law to retain it. APP 11 requires organisations to take reasonable steps to secure personal information and to destroy or de-identify it when it is no longer needed, subject to legal retention requirements.

12. Accessing and correcting your personal information

You may request access to the personal information PMFO holds about you. You may also ask us to correct personal information if you believe it is inaccurate, out of date, incomplete, irrelevant or misleading.

We may need to verify your identity before responding. In some circumstances, we may refuse access or correction where permitted by law. If we refuse a request, we will provide reasons where appropriate.

13. Anonymity and pseudonymity

Where lawful and practicable, you may deal with PMFO anonymously or by using a pseudonym. However, for many of our services, we need to identify our clients and collect accurate personal information to provide advice, meet professional obligations and comply with legal requirements.

14. Government-related identifiers

PMFO may collect and use government-related identifiers, such as tax file numbers, only where required or authorised by law. We will not use government-related identifiers as our own internal identifier unless permitted by law.

15. Automated decision-making

PMFO does not generally use automated decision-making systems to make decisions that could significantly affect the rights or interests of individuals.

If this changes, we will update this Privacy Policy to explain the kinds of personal information used and the kinds of decisions made using automated decision-making, where required by law.

Implementation note: from 10 December 2026, APP entities will have additional privacy policy obligations where personal information is used in automated decision-making that could significantly affect rights or interests. The OAIC has current consultation and guidance activity underway on this obligation.

17. Changes to this Privacy Policy

PMFO may update this Privacy Policy from time to time to reflect changes to our services, legal obligations, technology, privacy practices or regulatory guidance.

The updated version will be published on our website with the date of the latest update
